Executive Assistant, Digital Information Technology (6 months contract)

Job Summary

The Executive Assistant (6mth contract) supports the Senior Manager in developing and implementing digital and information technology solutions for the organisation. He/she is responsible for managing related tasks including procurement, involvement in projects and events support.

The incumbent is expected to work between 8:30 a.m. to 6:00 p.m. on weekdays. He/she is largely expected to work in an indoor environment, although he/she may be required to travel out of the office to attend events and meetings.

Key Responsibility Areas

Systems Monitoring and Management

  • Support to ensure that existing and current system applications operate effectively and efficiently.
  • Assist ad-hoc and regular system enhancements and implementation.
  • Assist in the development as well as management of user requirements for system enhancements and liaise with vendors to execute enhancements.

Vendor and Contract Management

  • Assist with contracts’ documentation and vendor relationships.
  • Assist with subscription registrations and contract renewals are processed and completed accurately.
  • Raise Purchase Orders (PO) and process invoices received.
  • Support the publication, documentation and administration for ITQ, RFP and Tenders.

CCIS Support

  • Assist with raising support tickets.
  • Assist with basic troubleshooting with CCIS.
  • Assist to liase with system vendor

SharePoint Support 

  • Assist with updating sharepoint pages
  • Assist with liaising with sharepoint vendor

Corporate Website

  • Assist with updating corporate website

Requirements

  • Diploma in Information Systems, Computer Science, or equivalent from any recognised institution
  • 2 years of Microsoft Dynamics and/or Office365 experience preferred.
  • Able to work independently and in teams.
  • Knowledge of the O365 platform as it pertains to feature sets that integrate with Dynamics CRM solutions including SharePoint and OneDrive/OneNote
  • Good written and verbal communication skills.
  • Excellent organisational and time management skills with the ability to work with various stakeholders in a fast-paced environment.
