Partner Relations & Recognition Executive Assistant (2-year Contract)

The Executive Assistant supports the Manager and Director in the processing and administration of scholarships, bursaries and awards.  He/She holds the administrative position for the coordination and smooth execution of all scholarships, bursaries and awards from the initial stage of outreach, call-outs and engaging stakeholders to the disbursement of these products in a timely manner.

He/She is able to multi-task with excellent communication skills and an upbeat attitude.  This position requires the candidate to be able to assist the supervisor in handling office tasks, providing polite and professional assistance via phone, mail and e-mail, and generally having a positive presence at the workplace.

Although he/she is largely expected to work in an indoor environment, he/she is also expected to travel frequently (locally) for meetings and other work assignments.


Main responsibilities
Scholarships, Bursaries and Awards Applications/Nominations
1. Outreach, call-out and publicise various products in accordance to the availability period across different channels.
2. Processing, shortlisting and recommending eligible applications or nominations for approval by supervisor/s
3. Procurement of services by external vendors
4. Processing of disbursements
5. Engaging recipients through tracking and monitoring of progress and development

Administration of Award Ceremonies and Events
1. Coordinate and manage the administrative responsibilities of events management

Requirements
Diploma in any related field from a recognised institution
Demonstrated experience in office administration and procurement function are an advantage.
Strong organisational ability with high attention to detail and excellent interpersonal skills.
Ability to communicate persuasively.  Excellent communications skills, both written and verbal, supported by good computer and internet skills, are required. Fluent English is essential while fluent Malay is an asset.
Flexible, resourceful and able to handle multiple consecutive projects effectively
Proficient in Microsoft Office applications such as Word, Excel, Powerpoint.

Partner Relations & Recognition Executive Officer (3 Months Contract)

The Executive Officer supports the Senior Director in community outreach, promoting volunteerism, and establishing partnerships at both national and community levels to achieve MENDAKI’s mission.  

The incumbent is expected to work from between 8:30 a.m. to 6:00 p.m. on weekdays and may be required to work over weekends and public holidays to support in organisation events. Although he/she is largely expected to work in an indoor environment, he/she is also expected to travel frequently for meetings.


Main responsibilities

Volunteer Management
1. Recruitment, planning and  coordination to ensure the training for facilitators and trainers in Maths are completed 
2. Recruitment, training and monitoring of  volunteers for reading coaches
3. Analyse volunteer profiles, identify partners, and manage recruitment platforms
4. Monitor and review the supply, performance, and retention of volunteers
5. Review volunteer management collaterals such as the volunteer handbook and event communications

Requirements
Degree in any relevant fields from a recognised institution
Minimum 2 – 3 years of work experience in the related field.
Able to communicate persuasively
Good decision-making and problem-solving skills
Excellent communications and interpersonal skills
Proficient in Microsoft Office applications such as Word, Excel, Powerpoint.
Knowledge of trends in the Social Service sector would be an advantage

Education (Perform in School) Senior Executive Officer/ Executive Officer - 2 year Contract

Main responsibilities
Strategic and Partnership Management
1. Keep abreast of pre-school education and development trends in the community
2. Assist in identifying and networking with potential and existing partners for collaboration on the provision of resources as well as the delivery of programmes
3. Respond to requests and follow-up with governmental agencies and representatives on the status of programmes

Programme Development and Management
1. Oversee the delivery and operations of Perform In School initiatives and programmes (such as the MENDAKI Tuition Scheme and Collaborative Tuition Programmes)
2. Evaluate the effectiveness of Perform In School programmes through the collection and analysis of feedback
3. Conduct reviews of programmes and recommend areas of improvement or adaptation to suit the needs of school-going children
4. Deliver developmental programmes where necessary

Fund/Grant Administration and Management
1. Review ETF grant applications and provide recommendations
2. Monitor the grant disbursement process and track utilisation
3. Generate monthly reports on grant utilisation for CEO and management team
4. Address stakeholder feedback and queries on various aspects of ETF

Financial Planning and Management
1. Assist in the department’s forecasting and budgeting activities
2. Implement budget plans to manage resource allocations to department’s programmes
3. Monitor budget outcomes to ensure proper utilisation and accounting of resources 

Other Administrative Duties
1. Collate and generate departmental progress reports for updates to the management

Requirements
Degree in Business Administration or other relevant fields 
3-5 years’ relevant experience
Good understanding of the education landscape in Singapore
Strong interpersonal skills and ability to manage stakeholders across different levels
Meticulous, detail-oriented and ability engaging with children 
Sound knowledge in Microsoft Office applications (Words, Excel)

Partner Relations & Recognition Executive Officer

The Executive Officer supports the Manager and Director for the efficiency and smooth operation of the Partner Relations & Recognition department. He/She is responsible for spearheading fundraising outreach efforts to meet the organisation’s targets by working closely with the various stakeholders. 

The officer is responsible for the execution and administration of creative and innovative fundraising initiatives. The role involves strategising and improving our digital marketing efforts and social media presence. 

He/she must be savvy with media platforms such as FB, IG and online giving. He/she must also be strong in project management with the ability to drive processes and delivery, with some proven record in raising funds. In addition, he/she must ensure compliance with statutory fundraising requirements and Code of Governance on all funds-raising activities.He/She may be expected to work beyond office hours to ensure smooth running of events.  Although he/she is largely expected to work in an indoor environment, he/she is also expected to travel frequently (locally) for meetings and other work assignments.

Main responsibilities   

Strategic and Partnership Management 
  1. Network with potential and/or existing partners for collaboration on the provision of community resources as well as the delivery of programmes.
  2. Share with the stake holders on accurate, timely, relevant information on MENDAKI through road shows, open houses and official invite from agencies. 
  3. Administer the management of partners for signature and flagship projects.
  4. Research and scan the local landscape for foundations, Trust Funds  and prospective donors.   

Fundraising 
  1. Execute and administer creative and innovative fundraising channels to secure funding for MENDAKI’s activities nationwide 
  2. Conduct fundraising strategies (If necessary) and work with ETF fund raising committee where necessary 
  3. Maintain Monitor progress of fundraising drives 
  4. Update donor database 
  5. Compile or develop materials to submit to granting or other funding organizations.
  6. Develop strategies to encourage new or increased contributions. 
  7. Conceptualize and ensure smooth implementation of community and partnership engagement plans to raise awareness on MENDAKI’s programmes and services 
  8. Organize a campaign or event that will lead to soliciting donations in consultation with HOD 
  9. Ensure the evaluation of donor acquisition results, effectiveness and modify strategies   

Financial Planning and Management 
  1. Oversee the implementation budget plans to manage resource allocations to department’s programmes 
  2. Oversee the department budget outcomes to ensure proper utilisation and accounting of resources

Requirements
  • Degree in Marketing/ Business Administration/ Communications or any related subject from a recognised institution
  • 3-5 years’ relevant experience in sales, marketing and fundraising with excellent organizational and interpersonal skills
  • Relevant experience in philanthropy management including fundraising, donor management or similar capacity
  • Highly organized, self-starters with good interpersonal, problem solving, strong negotiation and analytical skillsFlexible, resourceful and ability to handle multiple consecutive projects effectively
  • Good knowledge of trends in the Social Service sector and especially in the Giving sector
