Senior Executive / Executive Assistant, Corporate Planning

Job Summary

The jobholder (2-year contract) supports the organisation in ensuring the efficient planning and execution of the Planning function.

The incumbent is expected to work from 8:30 a.m. to 6:00 p.m. on weekdays. He/she is largely expected to work in an office environment.  On occasion, he/she may need to work outside official hours on weekends to support the running of events.

Key Responsibility Areas

Planning Administration

  • Assist in the development, coordination, and monitoring of MENDAKI’s strategic plans.

  • Provide administrative support in management and team meetings by preparing, compiling and disseminating meeting documents.

  • Coordinate logistics for internal and external meetings.

  • Process financial transactions as required.

  • Drafts written communication through reports, letters and emails.

  • Supports the Head of Department (HOD) with daily administrative duties and in external commitments related to service on external boards, committees and other groups.

  • Maintains files and documents as part of knowledge management and documentation for audits.

Research and Environmental Scanning

  • Assist the team and work with the Research & Programme Evaluation Office to conduct environmental scans on industry trends and policy changes.

  • Assist and support the team in scenario planning and risk assessments.

  • Assist the team in compiling insights to inform strategic planning discussions with the Management.

  • Performance Monitoring

  • Assist the team to track and compile the Objectives and Key Results (OKR) of all the departments.

  • Assist in the preparation of progress reports.

  • Flag any discrepancies to the HOD for corrective actions.

Data Protection & Personal Data Protection Act (PDPA)

  • Support the team in ensuring MENDAKI’s compliance with the PDPA.

  • Support the Data Protection Officer (DPO) in implementing awareness initiatives or data protection protocols.

  • Maintain records of consent and ensure that data collected complies with the PDPA.

Other Duties

  • Any other duties as assigned by the HOD.

Requirements

  • Between 1 – 3 years of relevant experience.

  • A diploma in Business Administration or related disciplines is preferred.

  • Able to work independently and in teams.

  • Confident and has a good working attitude.

  • Good written and verbal communication skills.

  • Excellent organisational and time management skills with the ability to work with various stakeholders in a fast-paced environment.

  • Strong IT literacy and ability to work proficiently with Microsoft Word, Excel and PowerPoint
