Executive Assistant, Corporate Logistics Management

Job Summary

The Executive Assistant (2-year contract) supports the organisation in the management of MENDAKI’s physical environment. He/she is responsible for the planning and coordination of administration and logistic support as well as event management.

The incumbent is expected to work from 8:30 a.m. to 6:00 p.m. on weekdays and may be required to work over weekends and public holidays to support in organisation events. He/she is expected to work in a variety of environments and is required to travel out of the office premises frequently to provide support at various events and centre locations.

Key Responsibility Areas

Overall Logistics Management

  • Assist in the logistics management in the sourcing of event venues, procurement of event collaterals, office supplies, and dispatch and post-dispatch services.

Event Management

  • Coordinate with departments and vendors for successful event execution and follow-up.
  • Prepare all the requirements for meetings, live streaming, and teleconferencing.

Financial Management

  • Monitor the unit’s annual and mid-term budget utilization.
  • Generate Purchase Orders and Payment Requests.
  • Any other tasks and/or projects assigned during the tour of service by the HOD

Requirements

  • A diploma in any related subject is preferred;
  • At least two to three years of relevant professional experience.
  • Proficient in Microsoft Office
  • Ability to multi-task and meticulous
  • Strong project and event management skills
  • Good Communication and Interpersonal skills
  • Knowledge of Sound Mixers, Audio Visual Systems will be an advantage
  • Holder of Class 3A driving license
