Privacy Policy

1.1 The purpose of this document (“Privacy Policy”) is to inform you about how we handle and process Personal Data (as defined below) which is subject to the Personal Data Protection Act 2012 (the “PDPA”). Please read this Privacy Policy so that you understand the purposes for which we collect, use and disclose your Personal Data.

1.2 Yayasan Mendaki (UEN No. 198902633C, with registered address at 51 Kee Sun Avenue, Wisma Mendaki, Singapore 457056) respects the privacy of your Personal Data and is committed to being in compliance with the PDPA. By interacting with us, submitting information to us, or signing up for any services, events or programmes offered, administered or organised by us, you agree and consent to Yayasan Mendaki (referred to herein as “YM”, “us”, “we” or “our”) collecting, using and disclosing your Personal Data in the manner and for any of the purposes set forth in this Privacy Policy. We may also collect, use and disclose your Personal Data where we have other lawful basis for doing so, as permitted under applicable laws.

1.3 This Privacy Policy supplements but does not supersede or replace any other consents you may have previously provided to us in respect of your Personal Data, and any consents you may have provided in connection with this Privacy Policy are cumulative and additional to any rights which we may have under applicable law (including the PDPA) to handle or process your Personal Data.

1.4 YM may from time to time update this Privacy Policy without notice to you, in compliance with applicable laws or as we update our data usage and handling processes. The updated Privacy Policy will supersede earlier versions and will apply to Personal Data provided to us previously. To the maximum extent permissible under applicable law, you agree to be bound by the prevailing terms of this Privacy Policy as may be updated from time to time and accessible on our webpage at the following:

If we make a change that significantly affects your rights or, to the extent we are permitted to do so, significantly changes how or the purposes for which we use your Personal Data, we will notify you by way of a prominent notice on our website or, if we have your e-mail address, by e-mail.

2.1 In this Privacy Policy, “Personal Data” refers to data, whether true or not, about an individual who can be identified from: (i) that data; or (ii) that data and other information to which YM has or is likely to have access to.

2.2 Examples of the Personal Data that you may provide to us include: your full name (including first and last name), photograph, address, telephone numbers (including residential, business and mobile phone numbers), NRIC number, date of birth, email address, financial information (including income), marital status, race, religion, education records and employment history.

3.1 Given the broad range of community-based services, programmes, events and financial aid organised, administered and provided by us, we generally collect Personal Data in the following ways:

  1. when you submit any application forms or registration forms for our services, programmes, events or financial aid;
  2. when you contact us, request that we contact you or when you respond to our request for additional Personal Data including for seeking any assistance or aid;
  3. when you use our services provided through online or other technology platforms such as our website, including when you perform any online transaction / registration;
  4. when you sign-up for or request to be included in our newsletters, mailing lists and/or periodicals;
  5. when you interact with staff, such as our service officers, including via telephone calls, letters, face-to-face meetings, social media platforms and emails;
  6. when you participate in surveys administered by us or our third-party surveying service providers;
  7. when your Personal Data is disclosed to or shared with us by other government agencies or any public agencies (for example, the Ministry of Education); and/or
  8. when you submit your Personal Data to us for any other reason.

3.2 If you provide us with any Personal Data relating to a third party (e.g. information on your spouse, children, ward, parents and/or guardian), by submitting such information to us, you represent to us that you have obtained the consent of such third party to you providing us with their Personal Data, and for the collection, use and disclosure of their Personal Data for all purposes set out herein

4.1 Generally, the collection, use and disclosure of Personal Data is in connection with our objectives of providing social assistance (for example, through our employability and tuition scheme programmes) and organising of community-based events (for example, policy forums and education seminars).

4.2 Accordingly, your Personal Data may be collected, used and disclosed for the following purposes:

  1. processing your application(s) and managing your participation in relation to any of our programme, event, activity, loan, bursary, scholarship or financial aid;
  2. verifying your identity;
  3. evaluating your eligibility and suitability for your participation in our programmes and/or events;
  4. evaluating your eligibility and suitability for award of any loan, bursary, scholarship or other financial aid;
  5. general administration, organisation and running of our programmes, events and/or financial aid;
  6. monitoring of your performance and compliance with the terms of any financial aid or participation in our programmes / events;
  7. offering you any financial aid, assistance or services provided or administered by us;
  8. sending you updates about our programmes, events and activities;
  9. requesting feedback or participation in surveys, as well as conducting research and analysis in connection with our social assistance objectives;
  10. responding to, processing and handling your queries, requests, feedback and suggestions, or otherwise providing support;
  11. matching any Personal Data which relates to you for any of the purposes listed herein;
  12. preventing, detecting and investigating crime, and analysing and managing commercial risks;
  13. managing and preparing reports on incidents and accidents;
  14. in connection with any claims, actions or proceedings (including but not limited to obtaining legal advice and facilitating dispute resolution), and/or protecting and enforcing our contractual and legal rights and obligations;
  15. complying with any applicable rules, laws and regulations, codes of practice or guidelines or to assist in law enforcement and investigations by relevant authorities; and/or
  16. any other purpose relating to or reasonably necessary for any of the above.

4.3 If you have provided us with your Singapore telephone number(s) and have provided your express consent to receiving marketing or promotional information via your Singapore telephone number(s), then from time to time, we may contact you using such Singapore telephone number(s) (including via voice calls, text, fax or other means) including for our marketing purposes

5.1 YM often works with its affiliates and other third parties in providing its services, programmes and events. As such, subject to applicable law, your Personal Data may be provided and shared, for the purposes listed above at Section 4 (where applicable), with the following entities or parties (whether located in Singapore or overseas):

  1. YM’s affiliates and related organisations (including but not limited to MENDAKI SENSE Pte Ltd, MENDAKI Club, Community Leaders Forum (CLF));
  2. our agents, contractors and third-party service providers (such as software providers and suppliers) who provide services to YM;
  3. our professional advisers such as our auditors and lawyers;
  4. relevant government regulators, government ministries, statutory boards or authorities and/or law enforcement agencies, including to comply with any directions, laws, rules, guidelines, regulations or schemes issued or administered by any of them;
  5. other self-help groups and organisations; and/or
  6. any other person or organisation to whom you authorise us to disclose your Personal Data to.

6.1 Under the PDPA, you have certain rights to:

  1. seek access to your Personal Data that is in our possession or under our control; and
  2. request that we correct any errors or omissions to your Personal Data that is in our possession or under our control.

6.2 Any such requests to seek access to or correct your Personal Data in our possession or under our control should be sent and addressed to our Data Protection Officer (see Section 12 below). We may charge a reasonable fee for processing your request for access to your Personal Data.

7.1 You should ensure that all Personal Data submitted to us is complete, accurate, true and correct. Failure on your part to do so may result in our inability to provide or assist you with any services, programmes, events, activities or financial aid that you have requested or applied for.

7.2 Accordingly, if there are any changes to your Personal Data, please ensure that you inform us promptly so that we can make the necessary updates to our records.

8.1 We will retain your Personal Data only for such period of time that the purpose(s) of collection of that Personal Data is still being served, and/or retention of your Personal Data is still necessary for any legal or business purposes.

9.1 You may withdraw your consent to any collection, use and/or disclosure of your Personal Data. However, if you do so, we may not be in a position to continue to process your application(s), to administer any contractual relationship already in place or provide further services or programmes to you. This may also result in the termination of any agreements that you have with YM, and your being in breach of your contractual obligations or undertakings. In such event, YM’s legal rights and remedies are expressly reserved.

10.1 We will ensure that Personal Data in our possession or under our control is protected with reasonable security arrangements, such as:

  1. access controls to the Personal Data in our possession or under our control; and
  2. robust password policies to protect the Personal Data stored on our network servers.

10.2 However, you acknowledge that no security arrangements are perfect or impenetrable, and agree not to hold us liable or responsible for any loss or damage resulting from unauthorised or unintended access that is beyond our control, such as hacking or cybercrimes. Additionally, we do not make any warranty, guarantee, or representation that your use of our websites or platforms is safe and protected from malware, and other vulnerabilities. We also do not guarantee the security of the data that you choose to send or submit to us electronically. Sending or transmitting such data over the Internet is entirely at your own risk.

11.1 Our website may contain links to other websites or platforms operated by third parties. We are not responsible for the privacy practices of third parties who operate websites or platforms that are linked to our website. We encourage you to learn about the privacy policies of such third party websites. Once you have left our website, you should check the applicable privacy policy of the third party website to determine how they will handle any information they collect from you.

  1. have any questions regarding the contents of this Privacy Policy or our data protection practices in general;
  2. would like to withdraw your consent to any use of your Personal Data as set out in this Privacy Policy; or
  3. would like to obtain access and make corrections to your Personal Data records,

13.1 You acknowledge and agree that our websites and platforms may include the use of cookies and other tools that automatically collect information about the use of our websites and platforms, including which pages you have visited and how long you stayed on each page.

13.2 A cookie is a piece of data that identifies you as a unique user. We use cookies on our websites and platforms to improve the quality of our services and to better understand our user base.
